Clear Approve ("we," "us," or "our") is committed to protecting your privacy. This policy explains how our Google Sheets Add-on handles your data.
1. Limited Use Disclosure
Clear Approve's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
2. Data Access & Scopes
Our Add-on requests only the minimum permissions necessary to function:
- Active Spreadsheet Access (currentonly): We read only the rows you explicitly select (or configure for schedules/triggers) in the active spreadsheet. We do not access other spreadsheets.
- Drive File Access (drive.file): We create and manage files that the add-on itself generates — such as PDF snapshots and internal data files for scheduled reports. We cannot access your other Drive files.
- Email Service: We use your Google account to send snapshots. Manual sends require clicking "Send." Scheduled and triggered sends are dispatched automatically based on settings you configure.
- Trigger Management (scriptapp): We create time-based and edit-based triggers to power the Schedule and Smart Trigger features. These triggers run only within this add-on's context.
- External Requests: We connect to our secure licensing server solely to verify your subscription status and Pro features.
3. Data Usage & Features
Send Now (Manual Snapshots): When you click "Send," the data from your selected rows is converted into HTML cards or a PDF document and sent directly to your chosen recipient. If you select more than 8 rows, the data is automatically converted to a PDF attachment.
Schedule (Automated Reports): When you configure a schedule, we store your settings (row range, recipients, frequency, time) using Google Apps Script Properties. At the scheduled time, a time-based trigger reads the latest data from your configured rows and sends a snapshot. The snapshot data is temporarily stored in a Drive file created by the add-on until the email is sent, then cleaned up.
Smart Trigger (Event-Driven): When you configure a smart trigger, an edit-based trigger monitors changes in your specified column. When a cell value matches your condition, the corresponding row's data is sent as a snapshot. We store a small tracking file in Drive to prevent duplicate sends for the same row.
4. Data Storage & Security
We do not store your spreadsheet data on external servers. Manual sends process row content in real-time. Scheduled and triggered sends temporarily store snapshot data in Google Drive files created by the add-on — these stay within your Google ecosystem and are managed automatically.
Configuration settings (schedule frequency, trigger conditions, row ranges) are stored using Google Apps Script's built-in Properties Service, scoped to your spreadsheet.
We only store your Email Address in our licensing database to manage your trial limits and Pro subscription.
Data Protection Mechanisms: We use industry-standard security protocols to protect your data during transit. All communications between the Clear Approve Add-on and our licensing servers are encrypted using Secure Socket Layer (SSL/TLS) technology.
5. Data Sharing & Disclosure
Clear Approve does not share, sell, or rent Google user data to third parties. Data is only transferred to the recipient's email address as explicitly directed by the user — either through a manual send, a schedule you configured, or a smart trigger you set up. We may disclose information only if required by law or to protect our legal rights.
6. AI Disclosure
Clear Approve does not use your spreadsheet data to train artificial intelligence or machine learning models.
