What are the three ways to send snapshots?
Send Now lets you manually select rows and send instantly. Schedule sends automated reports daily, weekly, or monthly. Smart Trigger auto-sends when a cell value changes to match a condition you set.
Does the scheduled snapshot use the latest data?
Yes. At the scheduled time, Clear Approve reads the current data from your configured rows — so recipients always get the most up-to-date information.
Will a smart trigger send duplicate emails for the same row?
No. Each row fires only once per value transition. If the value reverts and changes back, it will fire again — but it won't send repeatedly for the same change.
What happens if I select more than 8 rows?
Selections of 8 rows or fewer are sent as clean HTML cards in the email body. Larger selections are automatically converted to a PDF attachment.
What permissions does Clear Approve need?
Only access to the current spreadsheet, the ability to create its own Drive files (for snapshots), send email, and manage triggers. No Drive-wide access.
How do I cancel a schedule or trigger?
Open the Clear Approve sidebar, go to the Schedule or Trigger tab, and click the delete button. The automation stops immediately.
What comparison operators are available for smart triggers?
Clear Approve supports five operators: equals, does not equal, contains, greater than, and less than. For greater than and less than, values are compared numerically.
Can I send to multiple recipients?
Yes. Enter multiple email addresses separated by commas in the email field. This works for manual sends, scheduled reports, and smart triggers.
Do recipients need a Google account to view the snapshot?
No. Recipients receive a standard email with the snapshot rendered as HTML or attached as a PDF. They can read it in any email client — no Google account or spreadsheet access required.
Is my spreadsheet data stored on external servers?
No. Clear Approve processes your data in real-time within Google's infrastructure. Scheduled and triggered snapshots are temporarily stored in Google Drive files created by the add-on — all within your own Google ecosystem. We only store your email address for license management.
